Registration
- All Group Study Rooms are registered on first-come-first-served basis.
- All members of a group must be holders of valid Student/Library Cards, and a group must have two members or more.
- On behalf of the whole group, a member of a group may register for a Group Study Room at the Hung Hom Bay Library or the West Kowloon Library through the CPCE Facilities iBooking System via campus network.
- The registration can be made two days in advance limiting to two registered sessions with a maximum of two hours each day regardless of which group he/she is in.
- The person who registers the Room will receive a confirmation email via his/her College email account.
Use Duration
- The minimum/maximum duration of each session is 30 minutes/120 minutes, counting from the 15th or 45th minute of each hour.
- If the group continues to remain in the room after the registered session, all members must be ready to leave the room immediately together with all the personal belongings whenever requested.
- Cancellation or change of registration is allowed at any time before the start of registered session on the CPCE Facilities iBooking System.
Checking In
- All members of a group must check in at the Library Counter in person, to use the registered Group Study Room with the booking confirmation email and their Student/Library Cards.
- All members of a group can check in the registered room 15 minutes before the start of registered session.
- If a registered session remains receiving no check-in 10 minutes after the registered start time of the room, the room will be released for others to book. The registration without check-in will be forfeited and the quota will be deducted from the registered user.
Occupying A Room Without Valid Registration and Check-in
- All persons occupying any Group Study Rooms without valid registration and check-in must leave the Room immediately together with all the personal belongings whenever requested.
- All persons must not put their personal belongings in any Group Study Rooms unless they have checked in to use the Room. All unattended personal belongings may be removed. The Library will not be responsible for any loss or damage.
Proper use of sports facilities
- Sports facilities can only be booked for their designated and specific use, unless prior approval is obtained from the College. For those without prior approval, the College has the authority to terminate the use / activity and demand the user to leave the venue.
- Users will be responsible for any damage to the property in the sports facilities, such as lockers, windows, flooring, furniture, etc. As a general rule, damage should be reported as soon as possible.
- Functions, training courses or commercial activities of any kind should only be held in the campus with the prior approval of the College.
- Users must observe and follow the regulations governing the use of sports facilities, be responsible for their own safety and that to others while using the sports facilities.
- Users should demonstrate courteous conduct and should not cause any nuisance to other users.
Property and equipment on loan
Unless otherwise stipulated, students can borrow sports equipment at the Further Studies and Career Centre at the relevant campus by filling out the appropriate loan form. All equipment on loan must be returned immediately after use or before the closing time of the Further Studies and Career Centre. The person who signed on the loan form will be responsible for any loss or damage of the equipment on loan to him/her.
Misconduct
In the case of misconduct, or of any behaviour inconsistent with the regulations governing the use of the sports facilities or any other rules / regulations regarding the use of campuses, or where premises are being misused, the College shall have the authority to expel or debar the offender from the premises for a period up to three months. A written appeal against the decision may be lodged with the College within 14 days.
Safety of personal belongings
- Users are reminded not to leave valuables in the sports facilities. The College is not responsible for any loss or damage of personal belongings being left unattended in changing rooms or at the sports facilities.
- Unclaimed property and / or users’ belongings left behind in any sports facilities will be sent to the Campus Facilities Management Office on LG/F for further action on the following day.
Injuries
- All injuries must be reported immediately to the security staff on duty or Health Centre for necessary action. First aid boxes are kept near the entrance of the Multi-Purpose Halls & Gymnasiums, Rehearsal Rooms and Fitness Centre.
- Users are responsible for their own safety during their stay in the sports facilities, and are reminded to take necessary precaution against injury. The College disclaims the responsibility or liability whatsoever due to negligence or misuse of the equipment by the users.
Changing room
- All lockers must be cleared when leaving the sports facilities. Users must not leave their belongings in the lockers after campus opening hours. Authorized personnel of the College have the right to clear all lockers daily after the closing time and to dispose properties found therein. The College will not be responsible for the safekeeping of any items found in the lockers, nor be liable for any loss or damage of personal belongings in the changing rooms out of the user’s own negligence.
- Use of mobile phone or other digital equipment with photo-taking or video- filming taking functions is not allowed in changing rooms.
Temporary closure
- All sports facilities will be closed when tropical cyclone warning signal no. 8 or above is in effect.
- The College reserves the right to close any part of the sports facilities when, in its opinion, the facilities are not suitable for use. The sports facilities staff will cancel the bookings of the affected venues on the day. In such case, users can retain the booking confirmation email for making a free booking of the same value at a later time.
Proper use of music room
- No person is allowed to access the music room without prior reservation or permission. Offenders will be held responsible for any loss of or damage to the property in the music room.
- Users should not bring along any parties (non-eligible users) without prior permission.
- Users may borrow some of the music equipment at the CSAO’s Service Counter (WK) when collecting the smart-card. The equipment must be returned to the CSAO’s Service Counter (WK) after use or at the end of each session.
- Users should not move any item from the music room without prior permission.
- Users should lock the music room when they need to leave the room at any time during the booked period.
- Users should restore the equipment and furniture to proper positions according to the floor plan posted inside the music room after use.
- Users should seek advice from staff of the CSAO’s Service Counter (WK) if they are not familiar with the use of the equipment in the room. A user manual is also placed inside the music room for users’ reference.
- Users should make sure that all equipment has been switched off before leaving the room.
- Users will be responsible for any loss of or damage to the property in the music room, caused during the session utilised by the users, such as fittings, furniture and music equipment. Any loss or damage should be reported to the CSAO’s Service Counter (WK) as soon as possible.
Misconduct
In the case of misconduct, or of any behaviour inconsistent with the regulations governing the use of the music room or any other rules / regulations regarding the use of the campuses, or where premises are being misused, the College shall have the authority to expel or debar the offender from the premises for a period up to three months. Equipment on loan for use outside music room
- CPCE units, Students’ Union and Students’ Association registered / authorised organisations may borrow the equipment for use outside the music room.
- Only organised activities such as performance and competition under supervision of full-time staff of HKCC, SPEED and CSAO will be considered.
- All applications (with prior endorsement from HKCC Student Development Committee, SPEED Student Affairs Committee, CSAO or Advisors / Student Organisation Officers of Students’ Union or Students’ Association) must be submitted to the CSAO’s Service Counters 10 working days in advance.
- Approval of the application will be subject to the availability of the equipment. Applicants will be informed of the result in written in due course.
- The hiring charge for music equipment is (for the whole lot):
0 – 4 hours : HK$60
4 – 8 hours : HK$120
More than 8 hours : HK$180 - Payment is non-refundable unless the loan service is cancelled due to adverse weather, or the College’s decision based on unavoidable reasons. In these cases, the payment will be refunded.
- Successful applicant should collect the equipment from the music room and/or CSAO’s Service Counter (WK) during the loan period (please refer to the Application Form for Outdoor Rental of Music Equipment for details). All equipment and furniture on loan must be returned to the music room and/or CSAO’s Service Counter (WK) by the end date of the loan period and should be restored to their original positions according to the floor plan as posted in the music room. The person who signed the loan form will be responsible for any loss or damage of the equipment on loan to him/her.
- The equipment can only be used on PolyU Hung Hom Bay Campus, PolyU West Kowloon Campus and PolyU Main Campus. Prior approval is required if the equipment is to be used outside the campuses.
Temporary closure
- The music room will be closed when tropical cyclone warning signal no. 8 or above or the black rainstorm signal is hoisted.
- The College reserves the right to close the music room when, in its opinion, the room is not suitable for use and CPCE staff will cancel the bookings on the day. Users can retain the booking confirmation email if payment has been made and use it later to make a free booking of the same value.
